What WriteBack collects

We collect account information, recipient and facility details, letter content, uploaded photos, order and rewards information, and technical information needed to operate and protect the service. Payment details are processed by Stripe; WriteBack does not receive your full card number.

How information is used

We use information to create, print, mail, and track orders; provide writing and address assistance; operate customer accounts and rewards; prevent fraud; respond to support requests; and comply with legal obligations.

AI-assisted features

If you choose an AI-assisted feature, the information you submit to that feature may be processed by service providers that help generate writing suggestions or check facility information. Review every suggestion carefully. Do not include information that is unnecessary for your letter or address check.

How information is shared

We share information only as needed with service providers supporting hosting, payments, AI-assisted features, printing, mailing, security, and customer support; with correctional and postal systems as required to deliver an order; or when required by law. We do not sell letter content or uploaded photos.

Sensitive correspondence

Correctional facilities may open, inspect, read, copy, reject, or retain incoming correspondence under their rules. WriteBack cannot control how a facility handles mail after it is sent.

Retention and choices

We retain information as reasonably needed to provide the service, maintain order records, resolve disputes, and meet legal obligations. You may request access, correction, or deletion of eligible personal information through the support channel provided with your order or account. Some records may be retained when required by law or legitimate business needs.

Security and children

We use reasonable safeguards, but no online service can guarantee absolute security. WriteBack is not directed to children under 13, and a child should not submit personal information without a parent or guardian.

We may update this policy as the service changes. The updated date above will show the latest revision. Privacy questions may be submitted through the support channel associated with your WriteBack account or order.
